HostBooking Terms of Service

Version 1 · In effect from Oct 23, 2026

1. The parties

Provider ("HostBooking"): Mr Lê Anh Tuấn (an individual), operating the platform at hostbooking.vn. User ("the Business"): the person, household business or company that registers a booking site (brand) on the platform. Guest: a person who books or stays with the Business.

2. Formation and effect

These terms are an electronic contract under Vietnam’s Law on Electronic Transactions No. 20/2023/QH15. Ticking the box at sign-up, or pressing "Accept and continue" in the console, has the effect of signing, from that moment.

Each legal document carries a version number. The system records the account, time, IP address and version accepted. When HostBooking changes a document its version goes up and the Business accepts it again before using the console; a Business that does not agree may stop using the service under section 10.

The Privacy policy, the Data processing agreement and the Refund policy form part of these terms.

3. The service

  • A booking site for the Business (a subdomain of staycation.com.vn or its own domain), availability, quotes, bookings and deposits.
  • A console: places and rooms, prices, calendar, bookings, guests, payments, discount codes, reviews, reports, users and permissions, notifications.
  • Tools: AI assistant, translation, SEO, the HostBooking directory, Zalo and email.

What each plan includes and its limits are published on the Pricing page. HostBooking may add, change or retire a feature; a change that reduces what a paid plan includes is announced at least 15 days ahead.

4. Accounts and security

  • The Business is responsible for its registration details, for keeping passwords secret, and for everything done under its own accounts and those of staff it grants access to.
  • The Business grants and withdraws its staff’s access. HostBooking is not responsible for what people given access by the Business do.
  • If an account is accessed without permission, tell HostBooking at once through the contacts at the foot of this page.
  • HostBooking administrators enter a Business’s console only to support it or to resolve an incident; each visit is recorded in the Business’s activity log, and changing anything needs edit mode with a stated reason.

5. Plans, trial and limits

  • A new Business gets a 14-day trial of the Pro plan, once per email address. If the trial ends unpaid, 7 days of grace keep the plan; it then moves to the Free plan.
  • Paid plans are monthly or yearly, paid in advance. A period that ends without renewal has 7 days of grace, then moves to the Free plan.
  • Places, rooms, users or storage beyond the current plan’s limits are paused or locked, never deleted. Upgrading reopens them at once.

6. Payment

  • Plan fees are paid by bank transfer (VietQR). A plan starts when the system receives the right amount with the right reference.
  • Money guests pay the Business (deposits, room charges) goes straight to the Business’s own bank account or payment gateway. HostBooking does not hold, pass on, or take a share of room money.
  • Plan refunds follow the Refund policy.

7. The Business’s obligations

  • Meet the conditions for running accommodation under the Law on Tourism and related rules, and make the residence declarations required by the Law on Residence.
  • When taking bookings on its own domain, notify the Ministry of Industry and Trade of its e-commerce website under Decrees 52/2013 and 85/2021 where required.
  • Be responsible for the content, images, prices and policies on its site: true, used with permission, lawful.
  • Act as controller of guests’ personal data under the Data processing agreement, and honour what it promises guests (prices, confirmations, deposit refunds).
  • Not use the platform for spam, fraud, unlawful data collection or attacks on the system.

8. HostBooking’s obligations

  • Keep the service running, back data up daily, and fix incidents within a reasonable time.
  • Protect data under the Privacy policy; the Business’s data belongs to the Business.
  • Provide support by email, phone or Zalo, listed at the foot of the page, during business hours.

9. AI assistant

AI features (descriptions, translation, review replies, the figures assistant, search in plain words) send the content concerned to an AI model provider, possibly abroad. Their output is machine-made and can be wrong; the Business reviews it before publishing. Do not type passwords or guests’ ID numbers into an AI prompt.

10. Suspension and termination

  • The Business may stop using the service at any time and ask for its data to be deleted as described in Account and data deletion.
  • HostBooking may suspend a site at once on signs of fraud, unlawful activity, or harm to the system or others, and will tell the Business why.
  • After termination the Business has 30 days to export its data (bookings, guests, revenue as CSV). After that the data is deleted, except plan payment records that accounting law requires to be kept.

11. Limitation of liability

HostBooking is not liable for transactions or disputes between the Business and its guests, nor for indirect loss or lost profit. Its total liability never exceeds the fees the Business paid in the 3 months before the event.

12. Force majeure

Neither side is liable for failing an obligation because of natural disaster, epidemic, war, failure of infrastructure providers (power, network, data centre, banks) or a decision of the authorities, provided it told the other side and did what it could.

13. Governing law and disputes

These terms are governed by the law of Vietnam. Disputes are negotiated for 30 days; failing that, they go to the competent People’s Court where HostBooking resides. The Vietnamese version prevails.
